Student Support and Resources


Academic Advising

​All students pursuing a degree or certificate, or planning to transfer to another institution, must meet with their academic advisor each term to gain registration clearance. Students planning to transfer should identify transfer courses by using the destination school’s resources, such as catalogs, online information, and advisors. Klamath Community College advisors cannot speak authoritatively to deadlines and requirements of the transfer institution.

Access to College Facilities

All necessary facilities are open when classes are in session. Some offices, support areas, and instructional areas may be locked to protect college property, personal property, and individuals from possible injury. Keys are issued only to authorized representatives of the College.

Basin Transit Service (BTS) Bus Pass

Klamath Community College students ride Basin Transit Service (BTS) buses free, anywhere BTS goes, when they show a valid school identification card.

Students can validate their Klamath Community College student ID card with a term sticker, which can be obtained at the Student Services reception desk in Founders Hall, beginning two business days prior to the start of each term. BTS honors each term sticker until the first day of the following term, so students are still able to ride the bus during breaks by showing their ID with the previous term’s validation.

Any student who makes a complete withdrawal from classes for a given term must present his or her student ID to the student success representative at the time of withdrawal, in order to have that term’s validation sticker removed. Students may also be asked to show their student ID to pick up any refund due to them.

Bookstore

The Klamath Community College Bookstore is a textbook, convenience store for the student, faculty, staff and the public. The KCC Bookstore stocks new and used textbooks, electronic access codes, school and art supplies, KCC clothing and logo items, graduation regalia, and an assortment of food and beverages. The bookstore is located in Founders Hall.

During specific time periods, current KCC students receiving federal financial aid may be eligible to charge textbooks and school supplies to their student accounts. At the end of the term, students may sell books back to the bookstore.

Career and Employment

Klamath Community College provides access to occupational and career information. The professionals in the KCC Career Services Center can assist with information on employment related to programs of study. The College encourages students to seek volunteer or paid employment in their field of interest to clarify career decisions. The Klamath Community College Career Services Center is committed to providing personalized education and resources through career exploration and job search assistance. The center empowers students to make decisions, develop a plan, and achieve a career goal.

Center staff will guide students as they develop the tools and knowledge needed to achieve success. Throughout the journey, Career Services Center staff will assist students to: discover values, interests and skills; delve into career opportunities and programs of study that fit you; customize and tailor your resume and cover letter; and cultivate strategies to market yourself through impactful interviewing and networking practices.

College Survival and Success Course (CGS 100)

CGS 100 helps new college students acquire skills for academic success. Students gain knowledge of Klamath Community College resources, college policies and procedures, personal strengths and weaknesses in learning, effective study strategies, and career counseling. All new credit students should enroll in this course their first term.

Community Resources Benefits Navigator

If students need specific support, like housing or emergency shelter, food, finances, clothing, child care, etc., students may contact the Benefits Navigator to learn which available local, state, and federal programs may benefit them.

Cooperative Work Experience (CWE)

Cooperative work experience (CWE) provides the opportunity for students to apply learning in an actual workplace or training environment. CWE is available in professional-technical programs. Cooperative work experience is offered for variable credit based on a student’s objectives. Instructor permission is required.

Counseling and Student Support Services

Klamath Community College provides free counseling and student support services to students who need extra support through a contracted KBBH counselor on campus. Students sometimes get overwhelmed with balancing life and school, and a support specialist or counselor can help provide options and support for success. Help is available for test anxiety, school stress, home stress, and whatever else may be challenging a student’s academic or personal success. Students who are interested in finding out more about this resource, or who would like to make an appointment, can email counseling@klamathcc.edu or call the student support specialist at 541-321-1539.

Developmental Education

Developmental education courses help with basic language skills, writing, math, and study skills, based on placement testing. Free tutoring is also available on campus and online. Klamath Community College encourages students to improve their basic skills to promote success in college-level courses.

Disability Accommodations

In order to receive accommodations, written documentation of a physical, medical, and/or psychological condition (for example, visual, hearing and/or speech impairment, mobility, back injury, learning disability) which would cause a severe disadvantage for the student in absence of individualized services must be provided. Reasonable accommodations will be provided upon request for documented disabilities. Dual Credit

Courses offered for dual credit stem from agreements between high schools, universities and community colleges whereby a high school junior or senior enrolls in a college course and simultaneously earns college credit and high school credit for the course.

Food Pantry

The Associated Students of Klamath Community College (ASKCC) and the Office of Student Life have partnered to create an on-campus food pantry to provide support for students in need. Students who want to request food need to meet the criteria below:

  • must be enrolled in classes for the current term,
  • must present current student ID for verification when picking up,
  • limited to two requests a month.

Glossary of Terms

Adding, registering, and enrolling: These refer to officially signing up for a class.

Appeals and petitions: These are special requests for an exception to a rule or decision.

Attendance: Showing up for class on time, prepared, and participating. This is critical for your success. Always communicate with the instructor if you run into problems. Caution: non-attendance can lead not only to failing grades, but also to having to repay financial aid.

Credits and credit hours: You can consider them to be the same thing. The number of credits you earn for a class is on your class schedule and your transcript.

Deadlines: The last day to submit the requested or required items. Always check the college academic calendar and meet deadlines given by your instructors.

Disbursement: Giving students financial aid funds.

Dropping or withdrawing: Officially un-enrolling from one or more classes. Dropping a course refers to when a course is removed from a transcript. Withdrawing a course results in a “W” on a transcript. Withdrawing from courses may impact a student’s satisfactory academic progress.

Honor roll: This is listed on the transcript as Honor. Based on the number of credits completed and grade point average (GPA) earned in a term, KCC recognizes four designations of honor roll as follows:

President’s List: 10 or more credits, 3.75 to 4.0 GPA

Dean’s List: 10 or more credits, 3.50 to 3.74 GPA

Honor Roll (10-plus credits): 10 or more credits, 3.25 to 3.49 GPA

Honor Roll (6 to 9 credits): 6 to 9 credits, 3.25 to 4.0 GPA

Quarters and terms: The College runs on a quarter system - fall, winter, spring, and summer. Terms and quarters usually mean the same thing.

Refund and repayment: If a student did not maintain eligibility for financial aid they received, the College may have to refund money back to the U.S. Department of Education. The student would then be required to repay those funds back to the College.

Refunds: This can mean two things. If a student drops a course before the 100% refund deadline, the student gets a refund of what was paid for the course. Or, if the student has financial aid left over after it is used to pay tuition, fees, books, and any additional money owed to the College, that money will be disbursed (given) to the student, and that is sometimes called a refund.

Transcripts: Most often this means a student’s academic record - the classes they took and the grades they earned. However, there are also different transcripts for financial aid - for example, the Internal Revenue Service tax transcript.

Graduation

Graduation is the completion of degree or certificate requirements confirmed by the registrar. To graduate on time, students must consult with their advisor each term. Commencement is the annual June ceremony to honor graduates and near graduates. Students can participate if they graduated in the preceding summer, fall, or winter, or if they expect to graduate in the spring or upcoming summer. Students graduating at other times may participate with registrar’s approval.

  • Award of Completion and Diplomas: When a degree or certificate is completed, it is conferred into the student’s record and appears at the end of the transcript with the name of the degree and the date awarded. Diplomas are mailed 8 to 10 weeks after a degree or certificate is awarded; however, those receiving financial aid must complete exit counseling and be cleared of any financial obligations to KCC before diplomas will be released. Workforce and Community Education courses provide no credit, but awards of completion are available on request and by instructor recommendation.
  • Change of Name, Address, Email Address, Phone Number: Most changes can be made online, in person, or by mail, though name changes must be made in-person, with proper documentation, at Student Services in Founders Hall. Also notify the Financial Aid office, TRiO, and Veterans Services, if applicable.
  • Degree Audit (Advising Worksheet): Go to https://mykcc.klamathcc.edu  to view this report, which provides information about which classes are needed to complete a degree or certificate. Use your degree audit, class schedule, catalog, and published degree requirements to plan degree or certificate completion.
  • Petition to Graduate: Students should apply for graduation two terms before completion to confirm all requirements are met. File a Petition to Graduate form from your MyKCC account. After filing, report any changes to the Registrar’s Office. KCC reserves the right to award an earned certificate or degree without a petition to graduate.
  • Residency Requirements for a Degree or Certificate: For all associate degrees, 24 credits toward degree completion must be earned at KCC. For all one-year or less-than-one-year certificates, 12 credits towards the certificate must be earned at KCC.

Learning Resource Center (LRC)

The Learning Resource Center (LRC) is the gateway to the world of information. The LRC supports academic success by creating a dynamic learning atmosphere for students, faculty, staff, and community learners. The LRC provides study space and access to research resources, both in print and online. Tutoring and a computer lab with printing is also available. Klamath Community College students have access to the SAGE Library System, a consortium of over 75 libraries in Eastern Oregon including Eastern Oregon University, Treasure Valley Community College, Blue Mountain Community College, and Columbia Gorge Community College. Almost all the LRC’s resources can be accessed off campus.

Print and Electronic Resources: The LRC print and electronic materials collection is developed to support students’ academic needs and the college curriculum. The collection includes books, videos, streaming media, and several academic research databases, including EBSCOhost and Gale-Cengage, which provide full-text access to thousands of journals, magazines, and newspapers across the disciplines. The SAGE consortium allows interlibrary loans and makes materials at more than 75 libraries available for student use.

A valid student ID is necessary to check out library materials. Please see the LRC Help Desk for assistance.

Computers: The LRC has computers equipped with several integrated office software packages available for student use. Printing from the computers is free and access to internet resources is available.

Testing Services: The LRC offers a variety of testing services, which include placement exams, instructor exams, and occupational exams.

Tutoring Services: Tutoring is available in the Learning Resource Center during hours posted each term. Drop-in tutoring is available for math, writing, and other subjects. Students may request a tutor matched to their specific needs. Klamath Community College has online tutoring through tutorme.com. TutorMe has tutors for over 250 subjects. Other resources: Students are encouraged to obtain a Klamath County Library card in order to have access to all the print and electronic resources available in the Klamath County Library system. Students can obtain an Oregon Institute of Technology library borrower’s card for $20 a year and borrow materials from the OIT library. Students have in-house access to OIT’s campus print collection at no charge. An OIT borrower’s card is required for borrowing OIT materials.

Lost and Found

Turn in lost and found items to the cashier in Founders Hall. In Lakeview, turn in items to the site coordinator.

Online Services

Continuing students may access student records and services online. These services include registration, degree audit, degree plan, and financial aid award/disbursal information.

Students can access the catalog and class schedule online, as well as admission applications, financial aid forms, transcript request forms, current required books for credit courses, appeal/grievance/complaint forms, and more.

Parking

Parking is free. Students must abide by all posted signs, pavement markings, and speed limits. Parking is not permitted on non-paved areas. There is no parking in places where blocking an area would impede regular business, such as receiving deliveries. Improperly parked vehicles may be towed or ticketed.  Campus open hours are posted and no overnight parking is allowed. Oregon Institute of Technology (OIT) Parking                                       

Some KCC programs/classes/labs meet in OIT classrooms and lab space. KCC students who are on the OIT campus regularly for academic work are required to purchase an OIT parking permit. Permits are available on a per-term or per-year basis. Students parking at OIT must park in designated areas or risk being ticketed and/or towed. Scholarships

Considered to be “gift aid” because there is no requirement to repay the funds. The student has the responsibility to maintain satisfactory academic progress and fulfill all other requirements set forth by the individual scholarship program to maintain eligibility.

Students Receiving SNAP: STEP Program

SNAP Training and Education Program (STEP). The STEP program offers an opportunity to receive training through KCC’s short-term certificate programs and vocational trainings allowing one to enter the workforce with the necessary skills to succeed in a fulfilling living-wage career. The STEP program also helps with books, class supplies and tuition not covered by financial aid. Must be 16 years or older.

Students Receiving TANF & Parenting Students: (JOBS and SPS Programs)

Temporary Assistance for Needy Families (TANF) Job Opportunity and Basic Skills (JOBS) Program- TANF JOBS services are available for TANF recipients of all ages who are seeking a job or career education that will allow them to seek, or return to, work in less than one year. Support to Parenting Students (SPS) is a program that can offer KCC Students diapers and wipes.

Technology Help Desk

The Technology Help Desk is here to help all students with their technology needs and help them be successful. The help desk provides help with multiple things including connecting to Wi-Fi, getting logged into MyKCC/Canvas, and using the forgot or change password functions. Help desk staff can also help with connecting to email, and installing Office365 and other programs. The help desk is not able to perform repairs on student equipment, but staff can provide students with ideas about what to do.

Transcripts

Academic transcripts show courses, grades, academic terms, degrees or certificates granted, and other information. Starting in 2015, the College began noting certain co-curricular achievements on transcripts as well.

Unofficial transcripts are available online by accessing MyKCC. Official transcripts may be ordered online or in person with an accompanying fee, and may not be ordered by phone. Please note that official transcripts may not be released if there is a financial hold placed on the student account. The instructions for ordering official transcripts are available on the registrar page of website.

Transferring

Transferring to Klamath Community College
Students transferring to KCC from another college or university may request the placement test be waived upon evaluation of prior post-secondary transcripts if the student has completed both college level writing and mathematics course series.

Transferring to another School
Students planning to transfer to another college or university should contact the destination institution to be certain of transfer requirements and deadlines. Not all KCC courses will necessarily be accepted by the transfer destination institution depending on their policy. KCC encourages students to complete a KCC certificate or degree before transferring, since this will add value for the student. Some professional-technical courses may be transferable. Consult with your advisor.

Reverse Transfer
Students who go to another college or university before completing a degree or certificate
at KCC may want to consider sending transcripts from the other institution to KCC and
submitting a Reverse Transfer Degree Audit form, which is available on the KCC website.
KCC may be able to award degrees and certificates based on reverse transfer work.

Special Programs and Articulation Agreements
The College currently has partnerships and agreements with Oregon Institute of Technology,
Oregon State University, Eastern Oregon University, Southern Oregon University, and Linfield
College that facilitate transferring, and in some cases, allow concurrent enrollment. 

Transfer Credit Acceptance Policy

Students interested in transferring credits to KCC from another institution must be aware of the following policies:

  • ​Credits are accepted only from regionally accredited colleges and universities.
  • An official transcript listing the credits must be received by the Registrar’s office at KCC. Once the transcript is received, it will not be released to a non-contracted third party, including other institutions. For the purpose of proper advisement, transcripts should be sent to KCC prior to enrollment.
  • Student must be admitted as an undergraduate student and submit a Transcript Evaluation Request form. Transfer credit or credit for prior learning does not count for residency purposes.
  • Transfer credits do not count for residency purposes. KCC’s residency requirements are 24 credits for Associate, and 12 credits for one-year or less-than-one-year certificates.
  • A grade of “C” or higher is accepted in transfer work. Pass (P) and Satisfactory (S) grades are also transferable.
  • Undergraduate and prerequisite coursework will be evaluated for transfer.
  • Career Technical (CTE) coursework older than five (5) years may transfer at program lead approval.
  • Only credits which carry transfer credit to other state colleges and universities in Oregon will be accepted for the AA-OT degree.
  • General education courses earned as part of an associate’s or higher degree are accepted for transfer as long as they are not part of the technical core requirements of the new degree.
  • When credit is denied, the student may appeal for reconsideration by submitting a letter of explanation to the Registrar. If there is a question on course content, the course will be reviewed by the dean and/or faculty in that subject area.
  • Credit for prior learning is assessed on a case-by-case and department-by-department basis and is not awarded until student completes 12 KCC credits. Credit for prior learning does not count for residency purposes.
  • Credit for military training is granted on the basis of recommendations by the American Council on Education (ACE) as contained in the “Guide to the Evaluation of Educational Experiences in the Armed Services.” KCC accepts credits from the military DANTES and USAFI programs, as recommended by ACE. Military credits are those listed on a military transcript sent to KCC.
  • Only the official transcript and course evaluations performed by the KCC Registrar’s office are final. Any preliminary reviews by campus personnel are unofficial and not binding, and subject to change.
  • Transfer credits based on a different unit of credit or academic calendar system than the one prescribed by KCC are subject to conversion before being transferred.
  • Transfer credit must be deemed appropriately applicable for a student’s educational goals as well as the institution’s programs.

TRiO Student Support Services 

TRiO is a federally-funded TRiO program designed to assist students who are first-generation college students, considered low-income, or are experiencing disabilities with achieving their career, educational, and personal goals. We power the potential of our TRIO students by comprehensively assessing academic and financial needs and developing individualized plans for college success.

TRIO students are eligible to receive additional academic, career, and financial aid/scholarship advising, tutoring and study group support, community-building and cultural event activities, college visits and transfer assistance.

Veterans Services

Veterans Services provides information about education benefits for veterans and eligible dependents, and certifies enrollment with the Veterans Administration (VA). To apply for veterans’ benefits, go to www.gibill.va.gov. Recipients of VA benefits must maintain satisfactory academic progress toward their educational goals.

Veterans must follow VA regulations for notification of any change in academic program/major, course registration, withdrawal, and transfer credits from other institutions. Failure to notify the VA may result in a loss of benefits. For information on benefits or payment problems, call the Portland regional office at 800-827-1000 or contact the Klamath Community College Veterans Services at 541-880-2214.

All veterans receive in-state tuition in accordance with the Veterans Access, Choice, and Accountability Act.

Title 38 United States Code Section 3679(e) School Compliance Policy

A Covered Individual is any individual who is entitled to educational assistance under chapter 31, Vocational Rehabilitation and Employment, or chapter 33, Post-9/11 GI Bill benefits.

Klamath Community College permits any covered individual to attend or participate in the course of education during the period beginning on the date on which the individual provides to the educational institution a certificate of eligibility for entitlement to educational assistance under chapter 31 or 33 (a “certificate of eligibility” can also include a “Statement of Benefits” obtained from the Department of Veterans Affairs’ (VA) website - eBenefits, or a VAF 28-1905 form for chapter 31 authorization purposes) and ending on the earlier of the following dates:

  1. The date on which payment from VA is made to the institution.
  2. 90 days after the date the institution certified tuition and fees following the receipt of the certificate of eligibility.

Klamath Community College will not impose any penalty, including the assessment of late fees, the denial of access to classes or other institutional facilities, or the requirement that a covered individual borrow additional funds, on any covered individual because of the individual’s inability to meet his or her financial obligations to the institution due to the delayed disbursement funding from VA under chapter 31 or 33.

The Covered Individual must:

  1. Submit a certificate of eligibility for entitlement to educational assistance no later than the first day of a course of education.
  2. Provide additional information necessary to the proper certification of enrollment by the educational institution.
  3. Make and comply with payment arrangements for the amount that is the difference between the amount of the student’s financial obligation and the amount of the VA education benefit disbursement.

Eligibility Requirements

Students may establish eligibility for full-time veteran benefits by taking 12 or more credits, three-quarter time benefits with 9 to 11 credits, or half-time benefits with 6 to 8 credits. If the student attends less than 6 credits, only tuition benefits are available. Students taking GED or high school equivalency courses must attend class 18 or more hours per week to be full-time.

Students must provide documents verifying prior education and military service. The VA Educational Office in Muskogee, Okla., processes eligibility for benefits and monthly payments.

Transfer of Military Credits

Check with Veteran Services regarding transfer of military credits. After certification, students must maintain satisfactory academic progress (SAP) (see page 32.)

  • Enroll only in courses that are part of the certified program. Classes outside the certified program will make the student liable for overpayments and billing from the VA.
  • Complete at least the minimum credits for which the student was certified. Overpayments will occur if students enroll in, but do not complete, credits for which they were certified.
  • Inform the VA and Veterans Services immediately of changes in schedule, address, or dependents, as it takes up to six weeks to process changes.
  • Chapter 30 recipients must verify attendance monthly on the VA electronic system by calling 877-823-2378. Your VA file number is the last four digits of your Social Security number.
  • Chapter 33 recipients must call in every month during the enrollment period or will have opted-in for monthly text or email verification in order to receive education benefits. Students can call 888-442-4551 to verify enrollment or to opt in for verification via text or email.
  • Students receiving veteran benefits who are enrolled at least three-quarter time (9 to 11 credits) or more may be eligible to apply for work-study at a VA medical center or with the State of Oregon Employment Department.
  • New students must submit all transcripts from any accredited college they have attended previously no later than the end of their second term that they are enrolled at KCC. Failure to do so may result in termination of certification in the VA-ONCE system.
  • Students requesting veteran education benefits must apply to the VA and provide a copy of the certificate of eligibility to Veterans Services. The certificate of eligibility is sent to the student from the VA after the application has been processed. Recipients of vocational rehabilitation funds, tribal aid, or other third-party aid must check with the Business Office and Financial Aid to be sure all paperwork has been received.

GEM/CCAF

Klamath Community College offers courses that are compatible with the general education requirement for U.S. Air Force Community College of the Air Force (CCAF) degree. These courses have an “M” designation in the course code. Example: MTH105M Math in Society.

To complete registration for these courses, contact Veterans Services at 541-880-2214/2389. Funding is available through Oregon National Guard state tuition assistance program All airmen can apply for either federal or state tuition assistance. Contact your base training office or the KCC Veterans Services office for more information.

Military Friendly

Klamath Community College is a Military Friendly Institution. We are proud to claim that KCC has been awarded the Military Friendly designation from 2014-2023.

Wellness Center 

The Klamath Community College Wellness Center opened just as the COVID-19 pandemic started in spring 2020.  Public use and restrictions for workout facilities, including the KCC wellness center, have been limited by state restrictions. Workforce Innovation Opportunity Act (WIOA) Program

If you have been recently laid off had a reduction in hours, are underemployed, are low income, or are receiving SNAP or TANF, you may be eligible for a WIOA scholarship to assist you to obtain the training needed to begin a new career. Scholarships can pay tuition, fees, books, and other services.
